Shopware Payment Reconciliation with Independent Provider Evidence

Shopware keeps order, payment and delivery states separately. Reconciliation starts with the order’s payment transaction, then verifies the corresponding capture and supported refunds at Stripe or PayPal rather than trusting the shop status alone.

Where a Shopware payment comparison can diverge

Focus on the payment transaction and its evidence before interpreting the order workflow.

01

The wrong state is used

Order, delivery and payment states answer different questions. A delivery update cannot confirm a provider capture.

02

A payment attempt or reference is unresolved

An order may have payment history that must be resolved to the supported provider operation, not matched by amount alone.

03

Coverage is incomplete

An unconnected provider, stale synchronization or an unsupported refund path prevents a reliable financial conclusion.

Shopware payment states and what the provider should show

Only the payment state of the order transaction matters for reconciliation; the order and delivery states answer other questions.

Payment state (technical name)Meaning in the shopWhat Stripe or PayPal should show
Open (open)No result yetNo capture — or a capture the shop has not recorded: check it
Authorized (authorized)Amount reservedAn authorization, no capture yet
Paid (paid)The shop treats the payment as completeA capture for the full amount
Paid partially (paid_partially)Part of the amountA capture for that part
Refunded / refunded partially (refunded, refunded_partially)A refund recorded in the shopA provider refund of the same amount
Failed / cancelled (failed, cancelled)An attempt without a resultNo capture; if one exists, that is a reconciliation case

Reconcile one Shopware order transaction

  1. Open the order and distinguish its order, delivery and payment states. Inspect the relevant payment transaction and state history.
  2. Find the matching Stripe or PayPal capture using supported payment references. Verify amount, currency, account and mode.
  3. Compare captured funds and refunds separately. Do not infer a provider refund solely from a changed Shopware state.
  4. Check synchronization freshness and provider-account attribution. A shared account needs enough evidence to identify which store owns the payment.

Resolve the confirmed cause

Investigate the payment extension and notification path for a confirmed state-update problem. Resolve missing references and synchronize again before deciding that an amount is wrong. Keep any refund or capture action in the supported provider/store workflow.

Verify the result

Recheck the same transaction with fresh independent data. Verify the order, payment and delivery states separately. Use a test environment for integration changes rather than repeatedly changing a live order’s states.

What Business Watchdog supports for Shopware

Business Watchdog supports Shopware 6.6/6.7 connections and financial checks for covered, identifiable Stripe and PayPal payments. It compares available store records with independent provider evidence and reports unsupported or incomplete coverage rather than inventing a result.

  • Order and payment data are compared only within the connected, supported coverage.
  • Missing or stale data is shown as incomplete, not as a healthy result.
  • Alerts can be delivered by e-mail or Telegram when the corresponding supported rule applies.

Where the coverage stops

Coverage is not universal for every Shopware payment extension. In particular, a partial refund through SwagPayPal can remain unknown. Payments without a reliable store association cannot be confidently assigned across shops sharing an account.

How to connect monitoring safely

  1. Create the Shopware integration with the permissions shown in Business Watchdog and connect the store.
  2. Connect the supported Stripe or PayPal account separately; store integration access alone does not supply independent payment evidence.
  3. Review synchronization and exact coverage. The optional App adds checkout observation; it does not turn an unsupported financial scenario into a supported one.

PayPal cannot provide strictly read-only credentials; Business Watchdog restricts its own requests and explains this before connection. Read the security and access details

Questions worth separating

Does a Shopware paid status prove the provider captured money?

No. Independent capture evidence comes from the connected provider, not from the store’s own status.

Are all Shopware refund scenarios covered?

No. Review the reported coverage for the extension and refund path; an unknown result must not be treated as zero.
